I take the privacy of learners and their families seriously. This notice explains what information I collect, why I need it and the choices you have.

Who is responsible for your information?

Rebekah Gould, trading as The Music Room by Rebekah, is responsible for deciding how personal information is used. This is sometimes called being the data controller.

Information I collect

Depending on how you use The Music Room, I may collect:

  • A parent or adult learner’s name, email address, telephone number and lesson enquiries
  • A learner’s first name and lesson type
  • Learning Room activity scores, number of attempts, badges, assignments and completion information
  • Practice dates, duration and the focus selected by the learner
  • A protected version of the learner’s four-digit PIN
  • Information needed to arrange and provide lessons, including learning preferences or additional needs when voluntarily shared
  • Basic technical and security information needed to operate the website and account sign-in

I aim to collect only the information needed to provide lessons and the Learning Room. Please do not add private or sensitive details to assignment notes or practice entries.

How and why I use it

I use personal information to respond to enquiries, arrange and deliver tuition, create and manage Learning Room profiles, provide activities, record progress, assign work, support practice and keep the service secure.

The legal bases I rely on are usually taking steps towards or fulfilling a lesson agreement, my legitimate interests in providing and managing an effective teaching service and meeting legal obligations. Where health, disability or additional-needs information is shared so that lessons can be adapted, I will only use what is necessary and will seek explicit agreement where required.

Children’s information is used only to support their learning and participation. It is not used for advertising, profiling or automated decisions.

Who can see the information?

A parent can view and manage the learner profiles linked to their signed-in account. Rebekah can view learner information, progress, practice and assigned activities through the private teacher area.

The website’s hosting and sign-in providers process limited account and technical information needed to operate the service. An embedded Wordwall activity is provided by Wordwall; when it is opened, Wordwall may receive technical information in accordance with its own privacy arrangements. Information may also be disclosed where the law requires it or where this is necessary to protect someone from serious harm.

I do not sell personal information.

How information is protected

Parent accounts use secure sign-in. Learner profiles are linked to the signed-in parent and protected with a four-digit child PIN. The teacher area is restricted to Rebekah’s authorised account. Reasonable technical and organisational measures are used to prevent unauthorised access, loss or misuse.

A learner PIN is intended as a simple family access control. Parents should choose a PIN that is not used for another service and should not share account access outside the family.

How long information is kept

Learning Room information is kept while the profile is in use. A parent can delete a learner profile at any time; this also removes its saved progress, practice and assignments. If lessons end and a profile is not removed, I will periodically review it and normally delete it within 12 months unless there is a clear reason to retain it.

General lesson and enquiry records are kept only for as long as needed. Financial or business records may be kept for longer where required by law.

Your choices and rights

Depending on the circumstances, you can ask for a copy of personal information, ask for inaccurate information to be corrected, request deletion or restriction, object to particular uses or ask for information to be transferred. You can also withdraw consent where consent is the basis being used.

Parents can delete a learner profile directly from their account. For any other request, email bexgould@icloud.com. I may need to confirm your identity before responding.
